Terms and Conditions for Traverse Treks Nepal

As one of Nepal’s most reputable trekking companies, Traverse Treks Nepal (TTN) prides itself on trustworthy and transparent operations. The following terms and conditions reflect a mutual understanding between Traverse Treks Nepal and its clients regarding your tour(s) with us. The confirmation of your trip signifies your full agreement with these terms and conditions. Traverse Treks Nepal values your privacy and commits to keeping all of your personal information confidential.

We make all our bookings under Traverse Treks Nepal.

Acceptance of terms:

When you make a deposit, you accept our terms of service. If you have any questions about any of our policies, please do not hesitate to email us or contact us on WhatsApp.

Trip & booking contract:

Your booking is confirmed and an agreement exists when Traverse Treks Nepal write a confirmation after receipt of the applicable deposit amount. Please check your confirmation email carefully and report any incorrect or incomplete information to Traverse Treks Nepal immediately.

We will also require you to forward a copy of your passport, a passport-sized photo, and full flight details, 8 weeks before your arrival date. This is to permit us to book any flights, transport, trekking or climbing permits, prior to your trek/tour.

Payment:

  • To confirm your booking, a 30% deposit of the total trip cost is required. You can make this deposit through our website or bank transfer. 
  • The remaining balance is due upon your arrival in Kathmandu and before the start of the trek/tour. We prefer balance payment in cash, in US$ (or any major currency), we can also accept bank transfers. Please be aware that you’ll be responsible for any international transaction fees.

Cancellation Policy:

We know that life happens, and sometimes plans need to change, so we provide you with some flexibility in our refund of deposits. If in case a trip is cancelled by Traverse Treks Nepal, we will notify you as soon as possible and refund you 100% of the trip deposit you have made.

If  the trip is cancelled/deferred by you, please see our refund policy below:

Deposit Refunds:

  • up to 60 days before the tour start date, you will receive a full refund of your deposit. 
  • 60 to 30 days before the tour start date, you will receive a 70% refund of your deposit
  • 29 to 15 days before the tour start date, you will receive 50% refund of your deposit
  • 14 or less days before the start of the tour and in the event of a no-show, you will not receive any refund.
  •  If you need to change your trip/trek date, hold, or transfer to another person, up to 30 days before your tour start date, then this is possible with a forfeit of 25% of your deposit.
  • Your travel insurance may cover trip curtailment, depending on your policy and the circumstances. We recommend contacting your insurance provider directly to file a claim.
  • If you have any questions, please contact us in the first instance, we will be able to help.

Further cancellation details:

  • In the event, a trek or tour cannot be completed, either through your own choice (voluntary) or some outside event (involuntary), trek or tour fees are nonrefundable. If, however, the cancellation arose from an action on the part of Traverse Treks Nepal or a member of our staff, the situation will be reviewed on a case-by-case basis.
  • Traverse Treks Nepal cannot be held responsible for any additional expenses arising from flight cancellations due to bad weather or air traffic. However, we will work diligently to provide the best alternative possible. Any cancellation charges will be deducted from any applicable refund.
  • Your safety is of the utmost importance to us. Traverse Treks Nepal reserves the right to cancel any trip due to unavoidable and/or unforeseen conditions that would make the excursion unsafe, such as flight cancellations, inclement weather, natural disasters, wars, political situations, riots, government intervention, sickness, strikes, a pandemic, etc.
  • We are not at risk for any discounts if there should arise an occurrence of any deficient visit, trek or campaign whatever the reason from the client’s side.
  • In the event that your excursion gets dropped because of any unanticipated conditions like cataclysmic events, war or ominous climatic conditions, we will organize another outing for you. In this way, regardless of whether your outing won’t be the one you had picked, your cash won’t go futile.
  • Flight deferrals and wiping out are probably going to happen regularly during volatile climate conditions in remote regions, especially in the Everest district, the Annapurna locale, Dolpo, Simikot and Jumla area. Refusal of service:

  • We reserve the right to refuse service in Kathmandu or during the trek if any of the following are applicable:  fighting, excessive drinking, and verbal abuse of group members, guides, or staff are unacceptable behaviours and are grounds for immediate termination of our services. Please be respectful with staff, local people, culture, religions, and fellow trekkers.

Travel insurance:

Travel insurance is mandatory for all Traverse Treks Nepal clients. Traverse Treks Nepal cannot be held liable for hazards such as mountain sickness or accidents. Your travel insurance generally covers trip cancelation, losses, medical, and evacuation. You will need to include the maximum altitude height the tour will be ascending to. We don’t endorse any particular travel insurance company, but if you need any help or recommendations, feel free to contact us either via email or WhatsApp. Traverse Treks Nepal strongly encourages you to call your insurance company and check specifics before you leave from home. If you are planning for a trekking/climbing trip, the travel insurance policy must cover trekking/climbing activities and maximum altitude.

Use of photos and videos:

Our guide and staff or photographer may take photos and videos during your trip, and we may use those materials to promote our business through our website and social media. Please email us prior to the start of your trip, if your prefer us not to use any photos or videos of you whilst on our trip.

Passports and visas (Nepal):

The following are lengths of visa which can be obtained for tourists, and are available on arrival at the airport in Nepal. Or you can obtain a visa prior to your travel from the Nepal Embassy in your country. 

  • 15 days
  • 30 days
  • 90 days

You are also able to complete an online form for your visa application before your arrival. To complete the online form, please go to Nepal Immigration Website. Once you fill out the online form, you will get a submission Receipt with a barcode; please print it out and bring it along for acquiring a visa. It works for fifteen days and becomes invalid then after. If so, you will have to fill it out again.

Your passport must contain a blank page and needs to have at least 6 months validity on the date you are entering Nepal. Check this as soon as you book your trek.
